Keys and Lockouts

Lockout Policy and Procedure
If you get locked out of your room, you will need to follow the lockout procedure in order to gain entry to your residence hall room. A resident student is expected to assume a sense of responsibility for herself and her belongings and, therefore, the lockout privilege is not to be used in an inappropriate way. Residents should not abuse this service and will be charged each time a residence life or public safety staff member needs to let the student into her locked room. Students who are abusing this service will be subject to possible disciplinary action.
- During the workday (from 8:00 a.m. to 8:00 p.m. Monday through Friday,) a student should first contact any building staff member. If no staff are available, then contact the Public Safety Office using the x1230 extension. A Public Safety officer will meet the student at the designated room to allow the student entrance to her room.
During a weekday evening (between 8:00 p.m. and midnight Monday through Friday) or anytime on a weekend, a student should first contact the resident advisor on duty in order to gain access to her room. Signs noting who the RA on duty is are posted in the lobby entrance of each residence building. In the event that the resident advisor on duty is not available (which will mean she is doing duty rounds or responding to another student need), a student should then contact the graduate resident director on call to gain access to her room. Signs posted in the lobby of each residence also note who the GRD on call is. If the student is locked out 12 midnight to 8 a.m., she should first contact any staff residing in their hall or apartment building. If those staff members are not available, contact the RA on duty.
- A resident advisor/graduate resident director or a Public Safety Officer will ask a student to present a student identification card (if knowledge of residency is not certain) and sign a lockout form upon entry to her room in order to verify residency.
- A resident advisor/graduate resident director or a Public Safety Officer will require a student to present a room key upon entry to her room.
- A student will be charged $5.00 for each lockout performed by residence life staff and $10.00 for each lockout performed by a public safety officer. This charge will be applied to the student account. Students will not be charged for lockouts during the first week of fall classes.
- A resident student will only be permitted to access her own residence hall room. Under no circumstances will non-residents be permitted access to a student’s room/apartment without approval from the professional residential staff.
- In the event that a student has lost her key, she should contact the Office of Residence Life at x1518 immediately to report the lost key and to receive a new key. New keys will be issued to the student, and the Office of Residence Life will assess the appropriate fines. Students may check out a “loaner key” if they didn’t lose their key but left it in a safe location. They will have three days to retrieve their keys and return the loaned key. After three days, they will be charged for a lock change.

Key Policy
At the beginning of the year during move-in, resident students will receive a key for their residence hall room. Keys will only be distributed directly to the resident student who must sign for the key. Each member of the residence community assumes responsibility for the safety and security of the residence building by locking her/his room door and by adhering to the following guidelines for the use of residence area keys. Chatham University ID Cards allow access into a resident’s area 24 hours a day. Resident access to other residence areas is granted from 9:00 a.m. – 10:30 p.m. Please see Guest Policy for sign-in policy.
- All keys and ID Cards are the property of the University and may not be duplicated at any time or used by anyone but the student who signs out the key. Students shall not lend her key or ID Card to anyone. If a student is found in violation of this policy, she will be subject to disciplinary action, which may include residential fines.
- If a key or ID Card is lost or stolen, contact the Office of Residence Life immediately. Residence Life will contact the appropriate personnel to change the lock, if necessary, and to provide the student with a new key, for which a charge will be applied to the student’s account.
Once an order is placed to replace a lost/stolen key, the student will be responsible for the following charges:
Replacement of room key $50.00
Change of room lock $50.00
Replacement of ID Card* $15.00
*Any lost ID Card must be reported to Public Safety immediately the card can be deactivated. Please go to Student Accounts to receive a Replacement ID Card and to pay the card replacement fee.
- If a student changes rooms, she must return her original key to her GRD within 48 hours of the start of the room change. Failure too do so will result in a lock change fine.
- All keys must be returned to the GRD at the end of the academic year or at the time that a student moves out. Failure to do so will result in a replacement room key and change of room lock fine.
